Role Summary
AECD is seeking high performance administrative leader to support its start up and scaling.
As Executive Assistant & Business Manager will serve as a critical support to the CEO and executive team. This role combines traditional executive assistant functions—such as calendar, travel, and expense support—with business operations management, including oversight of office spaces, technology tools, and internal administrative systems.
As the company grows, this person will help build internal structure, support day-to-day efficiency, and act as a go-to for enabling seamless executive operations and strong team performance.
Key Responsibilities
Executive & Administrative Support
- Manage travel bookings, and expense reports for the small executive team, and the calendar for the CEO
- Maintain digital and physical filing systems, track key deadlines, and assist with team logistics
Business Operations & Office Management
- Set up and manage office spaces as needed, including equipment, supplies, and vendor relationships
- Coordinate technology access, onboarding/offboarding processes, and general company workflows
- Track subscriptions, software tools, and service providers; support contract and invoice tracking with outsourced finance
AI & Productivity Tools
- Implement and support use of internal AI tools (e.g., expense management, document generation, scheduling automation, task management platforms)
- Identify and test new tools to support the company’s operating model and hybrid/remote collaboration
Cross-Team & Executive Project Support
- Assist in preparing briefing materials, internal memos, and communications for meetings and engagements
- Provide ad hoc support on strategic projects, corporate filings, HR logistics, or travel/event planning
- Maintain confidentiality and professionalism in all executive support functions
Qualifications
- 5+ years of experience as an Executive Assistant, Office Manager, or Business Operations professional
- Proven ability to manage fast-paced executive support needs while juggling operational priorities
- Strong organizational skills, with attention to detail and follow-through
- Comfortable with AI tools, modern productivity platforms (e.g., Notion, Asana, Microsoft 365), and cloud file management
- Proactive and resourceful—able to build systems from scratch and anticipate needs
- Experience in startups, consulting, government, or infrastructure/development-related sectors is an asset
- Ability to work independently and prioritize effectively in a dynamic, high-trust environment
